Responsible for running the Construction Management Section office consisting of 73 positions. Supervise a Clerk 3 and an Office Support Specialist 2. Responsible for document control – office staff of 30 employees, 150 category Master Filing List, contract document files for approximately 67 construction contracts worth excess of 130 million dollars, including Records Center storage; training clerical staff, planning, assigning, monitoring, reviewing and editing assignments, prepare for pre-construction meetings; Compose correspondence to clericals and the Section with directives and suggestions. Assist the public originating from walk-ins, by appointment, and by telephone. Responsible for payroll, performance evaluations and office supplies; assign/coordinate the issuance of cell phones, pagers, radios. Maintain Fleet Management database of 64 vehicles, to include research on County’s Mainframe, repairs, Sun Passes, Causeway Cards, Gas Cards, Parking Garage Stickers, Accident Reports, keys, acceptance of new vehicles, vehicle transfers and vehicle disposals. Assist Section’s Budget person with vehicle mileage and condition on all of the Section’s vehicles. Liaison for the Department’s Fleet Management Unit, Section’s vehicles regarding vehicle assignments and maintenance and relaying directives from Fleet Management Unit to the Section’s drivers. Act as representative for the Section’s Optional Life Insurance, Open Enrollment Insurance and United Way. Assist with the production of the Division’s Hurricane and Disaster Preparedness Manual, prepare office and provide field personnel with hurricane supplies. Act as the Liaison for annual physical inventory required by the Florida Statutes. Representative for MAGIC requests, the Department’s online computer work order repair system. Prepare employees payroll using the Enterprise Resource Planning (ERP) computer system. Order office supplies using ERP.

Open and distribute mail; receive and screen telephone calls and visitors; Attend Bid Openings, take minutes, prepare and distribute. Type Resolutions to go before Board of County Commissioners; composes routine correspondence; insure that County Commission Agenda deadlines are met and all information is complete for Change Orders and Resolutions. Part of interview panel to fill clerical vacancies. Compose correspondence from verbal instructions and independently draft replies to inquiries and comments.
