PRACTICE MANAGER
Oversee the operation of this regional facility (Premiere), a unit of a larger, 90-physician medical group under the Women's Health New York management umbrella. Fully accountable for a multimillion- dollar operating budget, annual billings in the tens of millions, and an administrative staff comprised of medical billers, receptionists, clerks, and medical assistants.
Human Resource Management
* Evaluate candidates and hire personnel. Supervise employees providing direction, training, and support through almost daily interactions. Conduct performance evaluations at appropriate intervals (three months after hire and yearly for highly competent staff). Terminate underperforming employees.
* Boost employee morale through the fostering of an environment that promotes teamwork.
* Wrote a 40-page training manual delineating office policies and procedures.
* Resource covers conduct, job descriptions, compensation and benefits information, payroll policies, the credentials of each physician, insurance company information, and a technical section on how to operate and troubleshoot various medical and office equipment.
* Instituted training in HIPAA, customer service, infection control, and all software technologies.
* Keep abreast of market wages. Judiciously determine salary offers and increases so as to balance marketplace competitiveness with expense concerns.
* Schedule staff and doctors' office hours.
Capital Projects / Purchasing
* Assumed full leadership for a major construction project ($800,000) to remodel and expand the facility.
* Functioning like a construction project manager, met with architect, hired designer, and oversaw entire renovation process. As physicians were completely comfortable with my capabilities, I made major functional and aesthetic decisions including the layout of new exam rooms, private physician offices, bathrooms, and additional waiting-room seating to allow for maximum workflow efficiency.
* With full knowledge of regulatory issues regarding workplace safety (OSHA) and privacy (HIPAA), accomplished the project in nine months, without a single day of disruption to patient visits.
* Manage all purchasing including medical equipment, computer hardware and software, uniforms, furnishings, and disposables. Evaluate all vendors and negotiate/renegotiate pricing structures. Credited by COO for my ability to negotiate effectively, which has benefited other facilities. Conduct financial analyses to assess the relative benefits of leasing agreements or the outright purchase of expensive equipment.
Financial Management
* Maximize billing outcomes/co-pay collections by instituting new procedures and staff training.
* Act as lead in resolving escalated billing problems requiring management intervention. As necessary, contact senior management at insurance companies and pursue, with fervor, the timely and accurate compensation of physicians' charges.
* Handle practice's financial management including cash flow, accounts receivable, accounts payable, payroll reporting, debt financing, and bank reconciliations. Maintain constant vigilance over operating/overhead costs. Generate, evaluate, and act upon Quicken reports delineating various expenses and the trending of overhead. As needed, modify physicians' salary draws to coincide with incoming collections and large expenditures (malpractice insurance premiums).
* Performed an analysis to determine the best strategy for the practice's billing operation. Compared on- and off-site billing scenarios.
* Instituted service fees and other policies to improve practice management. Examples include missed appointment fees, fees to fill out forms, and missed co-pay fees.
Operations
* Troubleshoot and resolve operational problems requiring management intervention. Issues include patient complaints, staff effectiveness, and physician requests.
* Confer with attorneys to resolve various practice issues related to partnership agreements, malpractice, and management-company issues. Personally negotiated aspects of the partnership agreement between physicians and the management company.
* Hire and manage relationships with 3rd party providers including collections agency, answering and cleaning services.
* Initiated improvements to patient records-management systems. Currently assuming the lead role in a "paperless" initiative.
* Track and keep current physicians' re-credentialing, CME credits, DEA certificates, and specialty licenses.
* Seized an opportunity to streamline interactions with outside laboratory services by installing free Internet-based software. This initiative slashes, by 75%, the administrative time associated with producing lab requisitions, and as a result, is expected to be rolled out to other practices.
* Initiate local advertising to promote facility.
