Administrative Support to Manager and a staff of 20
in the Customer Energy Efficiency Marketing
Department. Manage and respond to a high volume
of issues and action items as they arise such as
maintenance of facilities equipment and office
supplies. Request purchase orders, office supplies
and internal stationary through company SAP
Supplier Management System (SRM). Invoice
processing through SAP. Process and preparation of
new hire paperwork request and route to
appropriate internal departments to coordinate
company server access, desktop, telephone,
building and access badge. Vendor building access
badges. Coordinate travel and transportation
arrangements for Manager and staff. Calendar and
schedule meetings through Microsoft Outlook and
building conference center. Process and maintain
effective follow-up systems and track issues to
resolutions. Maintain department Org Charts,
phone lists, employee vacation schedule,
department weekly project updates. Process
expense reports and weekly timesheets through
internal company system. Reconciliation of
corporate credit card statement. Track department

monthly subscriptions. Assist Project Managers and
Sr. Program Marketing Managers with mass
mailings, launch of new energy efficiency programs;
distribution of marketing collateral, energy efficient
promotional items to internal and external PG&E
employees, customers and vendors. Collect and
distribute all marketing print and media collateral
to internal senior management and program teams.
Maintain department marketing collateral archive

troubleshooting software issues. Set up new users
with login and password and terminate ex-
employee user rights. Managed helpdesk software
closing help tickets on Salesforce.com issues.
Prepare and organize training workshop materials,
including the development of PowerPoint
Presentations and Excel spreadsheets. Perform
routine clerical functions such as copying, faxing,
sorting incoming-mail, and arranging for overnight
