Successful Administrative Assistant with 2 year experience in Import/Export environment seeks challenging position as Execeutive Administrative Assistant. Will consider all Administrive Assistant positions in logistics environment.

Administrative Assistant - Collect Mail from mailroom. Maintain employee records, such as document time off, sick time, vacation time, personal time, and contact information. Create requisitions for office supplies for department and maintain supply cabinets. Maintain equipment printer, copier and fax. Send emails, create meetings on calendar, contact employees, and reserve conference rooms. Manage schedules and coordinate arrangements for meetings and events. Take minutes in meetings and create formalized meeting minutes for clients to review. Process client checks and send checks for deposit. Send helpdesk tickets to IT for computer issues, set up employees, and phone issues. Ship documentation to US Customs for CCATS SNAP-R applications for exports. Receive CCATS and Export License applications from US Customs, scan copies and save soft copy.
Trade Analyst - Receive emails from export teams to update and/or post parts to client’s encryption list. Classify parts in classifier. Upload parts on excel spreadsheets to be dumped into classifier database.

Import Coordinator - Check import documentation for accuracy against original purchase order information and confirm order compliance is consistent with established import guidelines. Determine/verify Harmonized Tariff numbers on potential buys. Communicate logistics requirements to merchandising staff and vendors when necessary. Communicate US Customs Rules and Regulations to merchandising staff when necessary. Correspond with merchandising staff on any QA issues, missed ship dates, and short windows. Monitor exception reports from logistic providers and communicate to merchandising staff for necessary action. Monitor over, short, and damage reports. Assist in obtaining disposition and providing disposition of defective merchandise via L/C damage reports. Calculate estimated landed costs. Calculate actual landed costs for invoicing. Responsible for ensuring that all samples are pulled, prepped and available to support the live shows. Supervise and lead team by planning and prioritizing tasks, delegating responsibilities while following through to ensure that all tasks are completed.
