Job Description:
Summary of Responsibilities
Perform accounting and bookkeeping duties necessary to organize, prepare and maintain accounts receivable for the Early Learning Center. Maintain current information and schedules for enrolled children as required by law. Update childcare Web pages/Web sites as needed. Requires contact with students, community, parents/guardians, family members, outside funding agency personnel, and other college employees and departments. Work is normally performed under general and infrequent supervision of the director and the program manager of the Early Learning Center.

Essential Functions
• Provide excellent customer service to students, staff, community, faculty, and funding agencies
• Record, maintain and reconcile childcare accounts receivable on childcare management software, Excel spreadsheet, and college financial system
• Prepare invoices for sponsors (parents/guardians) and funding agencies based on quarterly enrollment contracts, making adjustments as necessary throughout the quarter
• Resolve problems, inaccuracies and variances related to accounts receivable, requiring personal and phone contact with students, employees, other departments, and the general public
• Maintain child and sponsor information for currently enrolled children, as required by law, including emergency contacts, immunization reporting, medical and allergy information, and attendance schedules using childcare management software; distribute information to teachers
• Assist with enrolling new children, including acquiring required paperwork and distributing information
• Maintain the enrollment waiting list for present and future quarters, providing reports
• Prepare, distribute, and process quarterly enrollment and re-enrollment contracts; create associated reports for management
• Respond to phone inquiries about fees, policies, procedures, and enrollment availability
• Maintain Web pages/Web sites for the Early Learning Center and the Early Childhood Education program
• Suggest/implement changes to improve communication and work flow within the department and with other departments
• Regular and satisfactory attendance and punctuality
• Other related duties as assigned


Job Requirements:
• Knowledge of bookkeeping/accounting to perform thoroughly and accurately the full scope of responsibility as illustrated by example in the above job description
• High school graduate or equivalent with courses in accounting, bookkeeping and other business subjects required
• Previous experience with a community college accounting system is desirable and/or comparable work experience in a similar job situation
• Excellent customer service skills; excellent verbal and written communication skills
• Demonstrated ability to perform para-professional accounting and bookkeeping functions independently
• Knowledge of and experience with computerized accounting systems
• Knowledge of and experience with MS Office programs and webpage design desirable
• Background check and TB test will be required
