This rapidly expanding medical device company is looking for a highly skilled, versatile Executive Assistant to provide wide-ranging administrative and analytical support to the President and CEO, the Executive Vice President of Operations, as well as to members of the executive management team as needed.

Executive Assistant / Office Manager

This key position requires a confident and professionally established individual with comprehensive upper-level administrative experience. A great attitude, flexibility and strong work ethics are essential for this role. You will be working in a dynamic environment that requires excellent organization, constant multi-tasking, independent thinking and ongoing creativity. Prior experience working for a start-up company is desired - must be comfortable handling everything from filing to office organization to creating and coordinating corporate events and presentations, Board of Directors presentations and ongoing client interaction with our medical professionals.

Responsibilities:
• Maintain office services and records
• Design and implement office policies and filing systems
• Establish standards and procedures
• Answer telephones as first point of contact with company
• Organize office operations and procedures
• Prepare time sheets and control correspondence
• Review and approve supply requisitions
• Liaise with other agencies, organizations and groups
• Update organizational memberships
• Ensure filing systems are maintained and up to date
• Define procedures for record retention
• Ensure protection and security of files and records and effective transfer of files and records
• Ensure personnel file information is provided to corporate office
• Manage calendars, including updating meetings, travel and other items
• Make travel arrangements
• Schedule and assist in preparation for meetings, events, etc.


Job Requirements:
Requirements:
• 5+ years experience in Office Manager or Executive Assistant roles
• Bachelor’s degree
• Knowledge of Microsoft Office Suite applications including Word, Excel, Outlook and PowerPoint
• Excellent communication skills
• Internet savvy
• Familiarity with shipping and receiving of all merchandise, packages, postal mail, etc.
• Strong attention to detail
• Time management, organization and prioritization skills are essential
• Shows strong initiative; positive, outgoing and upbeat attitude
