Job Description: We are a construction management company that manages building operations and construction projects. We demonstrate personal commitment to the organization and provide continuous quality work and quality customer service. Our office located in Parker, CO has an immediate opening for an Administrative Assistant to join our growing team! Administrative Assistant (Construction Management)
As the Administrative Assistant you will demonstrate your personal commitment to our organization and provide continuous quality work. You will handle all telephone and email inquiries for our facilities and respond as instructed by the manager. You will be required to schedule appointments, arrange meetings and distribute agendas as assigned. In addition, you will generate reports, handle multiple projects and prepare invoices and expense reports. You will assist with tracking budget for department and construction projects. Other responsibilities for this role include, but are not limited to: • Review and process incoming work orders. • Monitor building stock and supplies and fill orders as instructed for facilities department. • Monitor cleaning work performed by outside Contractors and report any problems to Vice President on a weekly basis or as necessary. • Assist and monitor schedules and budgets for various building improvements. • Make calls to subcontractors for building repairs as directed by Owner/Manager. • Track work performed on building by all outside contractors. • Obtain contractor sign-in and issue temporary badge. • Receive, process, and track all special events forms for events to be held at school. • Work with RVU staff and faculty on room/event set up and report any potential problems to facilities department prior to event. Assist with set up to include moving tables and chairs. • Coordinate the schedule and update calendar, travel and meeting schedule for key management using Outlook, provide updates to all parties as needed
Job Requirements: Qualifications: The ideal candidate will have excellent written and oral communication skills, along with the ability to maintain a professional appearance and demeanor. The candidate must be able to carry out policies and procedures, and balance priorities or multiple projects while paying attention to detail and a tolerance for working on multiple projects simultaneously with the ability to work independently under specific direction. In addition, the candidate must be upbeat, positive, outgoing, personable and able to relate well with diverse populations and age groups • High School education or equivalent with 2-4 years of administrative experience; construction industry experience is a huge plus. • Demonstrates interpersonal skills necessary to interact effectively with staff, local and state agencies, university faculty, students and visitors. • Must have knowledge and ability to use a personal computer and related office systems software, such as Outlook, Word and Excel. • Knowledge of construction management process and use of specialized software for HVAC and security systems preferred. • Must be able to type at least 50 wpm.
