Job Description: Operations and Special Project Manager
The Operations and Special Project Manager handles daily office operations and coordinates additional projects. This individual will supervise the Office Operations Coordinator and any additional part-time administrative staff. This position reports directly to the Executive Director and distributes tasks as assigned to the administrative staff. Essential duties and responsibilities: The primary functions of this position include, but are not limited to the following: • Answers the main phone line and serves as the first point of contact for information and referral triage; answers or routes all calls appropriately • Coordinates production, shipping and management for company publications • Uploads user information to Atypon to provide online access to the Journal, and handles users’ requests • Provides reports to the Board and staff on member statistics on a monthly basis • Coordinates Board meetings and staff travel • Serves as the Registrar for all company webinars; duties include invoicing and collecting fees, registration of participants, communication to participants, reporting evaluations, attendance and financial data to the Executive Director • Prepares monthly reports for the Executive Director on membership, donations, company publication readership and any additional data related to the work plan or Results Based Framework • Provides routine cost analysis on webinars, donor mailing, membership campaigns and monthly renewals • Reviews all incoming bills and gains the Executive Director’s approval for payment • Provides administrative oversight for intern program, including applications, scheduling, hours, and completion of project materials; schedules oversight meetings with the Executive Director • Manages all operations-related vendor relations • Approves payroll • Updates and implements the Operations Manual
Job Requirements: Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education/Experience: • Bachelor’s degree and at least two years of administrative experience • Some management experience preferred Computer Skills: • Proficiency with IBM-PC using Microsoft Office, MS Word, MS Excel, MS Power Point and various internet search engines • Knowledge of HTML preferred
