Job Description: Main Responsibilities: 1) Personal Assistant to General Manager 2) Book-keeping and general officeadministration 3) Preparation of monthly, quarterly andyearly draft financial statements 4) Preparation of bills, revenue collectionmanagement, asset and credit control 5) Filing and all office assistance
Includes:
1. Provide day to day finance/accounting functions & ensure compliance with Group Accounting policies and procedures. This includes monitoring the standard practice by TM as required by IRS. 2. Ensure timely issuance of invoices to customers; managing the accounts receivables and collecting outstanding accounts; identifying & reminding delinquent accounts; and notify customers of insufficient payments or credit issuance. This includes management of disputes with vendors and customers, working closely with data and cdr to ensure timely settlement. 3. Managing accounts payables by verifying transaction information and invoices; scheduling and preparing disbursements; obtaining authorization of payment. 4. Perform Account Payables and Account Receivables / GL reconciliation on a monthly basis by communicating effectively with vendors and customers. 5. Monitoring and planning of cash flows to ensure sufficient funds to meet financial obligations, including monthly bank reconciliations as well as liaising with bankers in handling day-to-day banking transactions. 6. Gathering and organizing financial information and records; determining system improvements; implementing accounting procedures. Maintain all financial records by proper filing and keeping track of historical and current financial documents. 7. Oversea and coordinate any discrepancy involving billing to the customers and also invoicing from vendors. Propose and recommend the appropriate settlement plan to resolve the discrepancy. 8. Maintains office operations by establishing / enhancing operating standards (where applicable) and revising record-keeping systems, budgetary and personnel requirements. 9. Ensure compliance, maintenance and improvements on all aspects of the internal control. 10. Maintains accounting ledgers by posting account transactions in the QuickBooks. Resolves account discrepancies by investigating documentation. 11. Prepare monthly financial report which consists of income, balance sheets and cash flow statements. 12. Liaising with external auditors / tax agents in New York, California, Delaware, Virginia and Fairfax County on statutory filing and tax compliance matters. 13. Preparation of FCC 499A and Q reports as required by FCC 14. Responsible for handling office administration functions, payroll and administration of employee benefits.
