Job Description:


Assures that the office and business functions are operating in an efficient and timely manner. Hires, orients and supervises business associates and clerical personnel. Evaluates employees in their performance including effective recommendations regarding continued employment, discipline and pay increase considerations. Exercises authority to initiate and execute disciplinary actions (formal and informal) with employees, including warnings (verbal and written) suspensions and effective recommendation of additional discipline, up to and including discharge. Implements and assures accurate data, files, and ensures their confidentiality. Assures that the payroll and accounts payable are operating efficiently and in a timely manner. Creates memos, letters and prepares/distributes meeting minutes accurately and timely. Keeps staff members properly appraised of company and agency changes Maintains office equipment and keep an accurate log of agency property. Contacts vendors for service and coordinates with the Support Center Purchasing Department to ensure that best prices are negotiated. Orients and trains employees on use of equipment in timely fashion. Assures proper documentation of orientation/training activities. Coordinates with the property management company regarding agency issues in conjunction with the Support Center Assures office equipment (photocopier, fax machine) are operating and call for service if necessary. Maintains petty cash. Distributes tracks petty cash, records receipts and reconciles reports. Distributes office mail and maintains employee mailboxes. Manages office supplies, does inventory control and distributes requested supplies. Computes end of month processes which may include running reports, preparing month end close and reviews of accuracy.
