Job Description: Function: The Artistic Assistant is responsible for the logistical coordination and management of all needs of artists performing with The Phoenix Symphony and should strive to create a welcoming environment. This person also provides support for day-to-day operations related to all concerts or other activities as assigned.
Key Responsibilities: Artistic Manage all needs of guest artists. Work directly with artists or their managers to make hotel and travel reservations for artists. Assist artists with various requests/concerns including, but not limited to, all contracted items, ticket requests, general information, fees & expense checks, etc. Provide, or arrange for, transportation for guest artists to/from airport, hotels, and venues as needed. Coordinate and prioritize guest artists schedules as they pertain to media, fundraising or pre- and post-concert activities. Communicate this information to all departments. Create itineraries and informational packets for guest artists. Serve as primary contact for visiting artists, being on call at all times, assisting with personal needs as appropriate. Prepare venue for artists: dressing room signs, hospitality, etc. Participate in the regular concert duty rotation. Attend rehearsals, performances, and production meetings as necessary to ensure that visiting artists needs are met. Other duties as assigned.
Administrative Obtain rehearsal orders from all conductors. Collect artist and staff conductor (excluding MD) complimentary ticket requests and communicate them to Box Office. Prepare check requests for artist fees and expenses. Assist Operations Manager and Artistic Consultant in the execution of guest artist contracts. Maintain Artistic files. Use OPAS as a means of accessing, updating and generating orchestra and artist schedule information. Other duties as assigned.
Job Requirements: Qualifications: A basic understanding of standard Symphony concert procedures and etiquette. Ability to work with and discretely manage diverse personalities (including staff, stage crew, orchestra members, conductors, soloists, and their managers). Mature presentation, efficient attitude and manner. Excellent time-management and organization skills while maintaining flexibility; detail-oriented, thorough and able to multi-task. Knowledge of Microsoft Office. Music background preferred.
