Job Description: Maintain calendars; determine which meetings take precedence and coordinate according to Supervisor's schedule. Prepare agenda in advance, organize on or off-site meeting facilities, ensure all audio/visual equipment is functioning and set up before start of meeting, assist in the preparation of presentations (i.e. typing, preparing PowerPoint slides, gathering and organizing support materials). Create consistent and professional PowerPoint slides from handwritten notes, generate tables and charts within slides, source & create relevant graphics for presentations, animate text, images, & slide transitions, ensure all text is grammatically correct. Make domestic and international travel arrangements. Manage team intranet space; set-up team web pages with IT support, upload documents, reorganize existing projects, file away outdated documents. File team Expense Reports in a timely manner, gather receipts, acquire approval from Supervisor, liaison with AP to troubleshoot any issues. Manage Team Budget; create I/Os, PRs, acquire appropriate approvals from Managers, track payments and follow up on outstanding invoices. Log & track team PTO days within internal system. Record team PTO days on VP's calendar. Arrange team meetings; create agenda, reserve meeting space and setup audio/visual, distribute all relevant documents, set up dial in numbers if needed. Take action as authorized during Supervisor's absence and use initiative and judgment to see that matters requiring attention are referred to delegated authority or handled in a manner to ensure that work continues to flow smoothly during the absence. Open and prioritize incoming mail. Handle routine requests and distribute remainder to proper recipient. Route key periodicals to team. Assure discreet handling of highly confidential information with tact and professionalism. Perform departmentally related duties as required and provide backup to Global Marketing team.
Job Requirements: Associates Degree in Business or Office Administration Training preferred Minimum 3 to 5 years of general administrative support experience Excellent organizational, interpersonal and communication skills Power User of Microsoft Office (Word, Excel, PowerPoint) Accurate typing of 50 WPM. Ability to prioritize tasks Strong attention to detail Previous experience supporting an Executive level professional preferred
