Job Description: Operate and grow a small museum while pursuing a high standard of quality in museum practices.
DEVELOPMENT: Devises annual and long-range development plans for the museum in cooperation with the President & CEO and Museum Management Committee.
Researches and establishes contact with potential funding prospects to assess compatibility with museum goals.
Works with volunteer staff to develop project narratives, budgets and goals for proposals.
Responsible for the development, writing and submission of all proposals, letters of inquiry and grant applications for presentation to potential funders.
Assists in the implementation of projects once funding is received.
Prepares required reports to funders on status of current grants. Assists in the monitoring of the status of funded projects to report on compliance.
Supervises all development activities including direct mail projects, planned giving, endowment-building, major gifts and campaigns.
Responsible for working with outside groups doing fundraising on behalf of the organization in conjunction with the President & CEO and museum management committee.
MUSEUM OPERATION: Oversees volunteer and intern recruitment, training, scheduling, management and retention.
Oversees security and cleanliness of museum during hours of operation.
Performs and/or trains volunteers to give interpretive tours for youth and adults.
Oversees gift shop manager intern in ordering, consignment, merchandising and inventory control.
SPECIAL EVENTS: Works with the Fundraising and Development committees of the museum management committee on activities including the planning, publicity and execution of special and annual events.
COLLECTIONS: Works with Museum Management Committees Collections Subcommittee to assure donations are properly accepted and documented.
Acts as systems manager of artifact/memorabilia donor database (Past Perfect Software).
Responds to artifact/memorabilia donor inquiries by phone and correspondence.
Assists with development, production and installation of new or changed exhibits
PUBLIC RELATIONS: Coordinates, with input from the President & CEO and Museum Management Committee, the public relations functions of the museum. Prepares media materials, such as press releases and PSAs. Interfaces with the media.
Performs the majority of the graphic design work.
Composes and prepares layout of bi-annual newsletter (January & May issues).
ADMINISTRATION: Attends and gives reports at Museum Management Committee meetings.
Between meetings of the Museum Management Committee reports to the chairman of the Museum Management Committee.
Interfaces with the museum management committee, the parent organization - Old Pueblo Trolley, Inc, the City of Tucson, the Tucson Association of Museums, the Southern Arizona Attractions Alliance, the Downtown Tucson Partnership and the public on a regular basis.
Responsible for filing and maintaining all museum division records
Prepares one annual report for the City of Tucson (Feb) and the museum annual meeting (May).
Performs other duties as assigned. ###
Job Requirements: Qualifications Summary ____________________________________________ A minimum of five years experience in the museum field or bachelors degree from an accredited institution in History, Museum Studies or other as appropriate. Comfortable with presentations, media interviews, public relations Possessing excellent interpersonal skills. Able to multitask and prioritize time-sensitive projects. Self-starter able to perform required work without direct supervision. Proficiency with Microsoft Word, Excel and any professional graphic design software. Able to commit to a contract of two years minimum with the option of extension. Conscientious team member who is dedicated, self-motivated, courteous, professional and always pursuing excellence. Knowledge of Tucson nonprofit and business community is a plus. Experience working with and supervising volunteers. Preferred experience working with Boards of Directors.
