Job Description:
A qualified full time South Shore Estuary Reserve Office Program Administration Manager is sought to facilitate administrative implementation of various actions recommended in the comprehensive management plan (CMP) for the Long Island South Shore Estuary Reserve (Reserve). This individual will work for the New York Department of State out of the Reserve office located in Freeport, Long Island, and will report to the Reserve Office Director. The Reserve was established by the New York State Legislature at the urging of Long Islanders concerned with the future health of the South Shore Estuary. The Reserve includes five estuarine bays and their 326 square mile watershed in Nassau and Suffolk counties. One and a half million people live in the Reserve, and millions of visitors come each year to enjoy its beauty and bounty.


Job Requirements:
Qualifications:
The applicant should have completed a bachelor's degree or equivalent in administrative management or other closely related field, and have documented experience in the overall operation of a professional office. Experience or a background in environmental science, marine studies or other closely related field is preferred. The applicant must be detail oriented and highly organized with an ability to perform multiple tasks; have exemplary verbal and written communication skills; have excellent interpersonal skills; an ability to work independently and with structured deadlines; and must be comfortable working in a team environment. Applicant must be able to develop and produce reports; meeting summaries, web-based and printed program outreach materials; assist with development and oversight of program budgets; and have a working knowledge of not-for-profit organizations and state and local government agencies and operations.

The applicant must be computer proficient with an ability to manage and maintain a networked office computer system, utilize a variety of software programs for word processing, data management and computer mapping, and have some experience in managing web sites.

Responsibilities:
The Program Administration Manager will:

∙ Assist the Director in coordinating all administrative activities and operations of the Long Island South Shore Estuary Reserve Office by administering office and support activities including: interaction with vendors and government agencies regarding office equipment, supplies and services, managing records for personnel time, travel and expenses, and preparation/distribution of office communications including printed and electronic mailings.

∙ Provide administrative facilitation of SSER program related committees and workgroups including the SSER Council, Citizens Advisory Committee and various topic based workgroups.

∙ Prepare and organize materials for Reserve related events and meetings including coordination of volunteer activities and public relations, assist as necessary with planning and logistical coordination. Act as Reserve Office representative as determined by Director.

∙ Assist with periodic evaluations of the effectiveness of the Reserve office operations, and recommend procedures for improved program delivery; assist in the implementation of such procedures.

∙ Assist with preparation of grant applications and requests for project proposals, assist with administration of approved grants and project work plans.

∙ Assist with interpretation and analysis of scientific information for public outreach , education and stewardship activities.
